Openforce Product Updates

This year, we’ve set a specific focus on the IC enrollment experience. It started with a full mobile-first facelift of the application released in June, and continued with an evaluation of every single step an IC takes in order to get contracted. Just this past month, we identified and refined areas that continued to stall and block contractors from completing their enrollment.

Some of these improvements include:

  1. Pre-populating form fields based on information the IC provided earlier in the enrollment.

  1. Faster way to set calendar dates for DOB and document expirations on mobile devices.

  1. More intuitive experience for IC rate negotiation.

  1. All new login screen that allows users to sign in from any device, while also allowing new contractors to simply toggle to the right to create an account in 5 easy steps.

Fast IC onboarding all starts with the Enrollment Instructions. And we felt it was time to overhaul and simplify this step too! Now, the enrollment instructions that you generate from within ICM® contain a GET STARTED button – front and center – that takes ICs directly into an enrollment upon login, without having to manually enter the activation code. We’ve also condensed the instructions to fit all on one convenient single page for those that print them off and hand them to ICs.

Digital document management sits at the foundation of IC compliance management. And with load times a major contributing factor to an improved user experience, we’ve made strides to quicken the load times for displaying both digital documents and document types within Openforce’s independent contractor management (ICM®) platform. Clients and independent contractors should see noticeably faster document load times into the future.

If you’d like to discuss ways to optimize your Openforce solution or would like to get started with an end-to-end 1099 management platform to onboard, verify, pay and retain contractors, schedule a call with us to learn more—and receive a complimentary risk and compliance evaluation.

Accessible MC & USDOT Numbers

Are you a delivery and logistics company that asks independent contractors (ICs) to provide their MC and USDOT numbers? Through Openforce’s IC Onboard software, when you onboard drivers, these numbers can be made readily available in your Enrollment and Contractor grids.

These important numbers will become visible as they are captured during the driver’s onboarding in the Enrollment grid. Once collected, it will automatically carry over to the Contractor grid. By default, these new grid columns will be hidden, but can easily be added to your default view using the column configuration tool.

Openforce’s Professional Service Group can help by modifying your enrollment workflow to have contractors enter their MC and USDOT numbers. Contact your Project Manager to get started or email CustomerSupport@oforce.com.

There has been some confusion about who is required to have a USDOT number. In general, companies that do the following are required to have interstate Operating Authority (MC number) in addition to a USDOT number:

  • Operating as for-hire carriers (for a fee or other compensation)
  • Transporting passengers, or arranging for their transport, in interstate commerce
  • Transporting federally regulated commodities or arranging for their transport in interstate commerce

The USDOT number serves as a unique identifier when collecting and monitoring a company’s safety information acquired during audits, compliance reviews, crash investigations and inspections. Currently, until the Unified Registration System (URS) is fully implemented, there is no cost to register for a USDOT number. Operating authorities cost $300 each. Drivers can visit www.fmcsa.dot.gov to learn more and select FMCSA Getting Started to register.

IC Profile Picture Capture

ID badges are critical to organizations of every size as they provide the foundation for each facility’s access and security. They are especially necessary for businesses that use independent contractors, such as contract drivers, where schedules change and evolve. Their visual identification becomes essential to display at all times in case their role or identity is questioned.

In our ongoing conversations with clients, we’ve confirmed that more transportation and logistics companies are using on-location physical badging to identify contractors at the docks. To help speed and simplify this process, Openforce’s IC Onboard offers a new feature that collects the IC Profile Picture during the contractor’s enrollment. This feature, combined with our expanding Contractor API, makes it possible for clients to directly print the ID badge from their in-house badging software.

Instead of taking photos and printing physical badges onsite, ICs may upload this information directly in IC Onboard during enrollment.

  1. Clients select the location(s) where this requirement is needed.
  2. IC Profile Picture feature is included in those workflows.
  3. ICs follow enrollment steps to upload a profile picture to their profile.
  4. Upon completed enrollment, ICs will see their profile picture located in the Profile tab.
  5. Openforce’s Contractor API allows clients to make a GET request to digitally receive the URL for the IC Profile Picture.
  6. Client prints ID badge on location.

For contractors enrolling via mobile devices, the upload feature functions in the same way it does today for other document uploads. Most smartphones will prompt ICs to either navigate to document or photo storage to upload an existing file. If the contractor doesn’t have a photo on file, they may also open the phone camera to take a new picture and upload.

Clients have the option to include or exclude the IC Profile Picture feature in their workflows. Furthermore, Openforce’s team of hands-on Project Managers are ready to assist clients that would like to include this new feature to address their location-specific needs.

The Contractor API allows you to GET contractor data and configure sync updates on your terms and at your desired frequency. Shared data endpoints include:

  • First and Last Name
  • Date of Birth
  • Email Address
  • Mailing Address
  • Phone Numbers
  • Profile / Badge Photo
  • DOT Number
  • Motor Carrier Number
  • IC Business Name
  • Contracted Date
  • Openforce IC Identifier
  • Contractor Identifier

Integrating with Openforce’s API services enables clients to achieve the data connectivity they need to more effectively manage independent contractors. Clients interested in activating the IC Profile Picture feature should reach out to their Project Managers or email CustomerSupport@oforce.com.

We Just Made Onboarding Drivers Faster & Hassle-Free

Even for clients using Openforce’s complete mobile onboarding platform, enrollment workflows related to pre-screening, background screens documentation, and authorizations can create a heavy, time-consuming burden for carrier relations administrators.

It’s inevitable that in any onboarding process, there will be delays from third parties and even the ICs themselves. As a result, administrators get caught in the cycle of chasing down information, making calls, and holding all parties accountable to deadlines.

Furthermore, when there are delays in the process, most organizations say it’s because they don’t know the status of the onboarding process and cannot be timely with their follow up.

That’s why Openforce’s Fast Onboard Service was created. We assign an administrator who takes on and expedites the onboarding process while providing clients with visibility into all contractors’ status along the way.

With a dedicated Onboarding Team acting as an extension of your department, we can ensure that qualified contractors are onboarded quickly through the Openforce platform faster than clients can typically achieve themselves. Here’s why:

The Fast Onboarding Team is:

  • Knowledgeable on the Openforce system.
  • Fully versed in the Client’s process, requirements, business and people.
  • Dedicated to onboard management only; no distractions or other duties.
  • Able to run overtime with 48-hour advanced notice for urgent needs.

In a recent benchmarking study, an Openforce Onboarding Coordinator dramatically reduced cycle times and durations for the following:

Openforce’s Fast Onboarding Team helps meet the onboarding and compliance demands of your approved business process, supporting the following:

Additionally, the Onboarding Team will benchmark current enrollment durations that will be used to identify and improve bottlenecks across the entire process, so that clients can see their actual results.

With Openforce’s Fast Onboard Service, companies are able to transfer the burdens of inefficiencies, wasted time, and cost to us.

NEW Mobile-Optimized Independent Contractor Enrollments

By their nature, independent contractors are everywhere—that is, except in front of a computer! That’s why Openforce has completely redesigned the contractor onboarding experience to be mobile-first.

By improving our software to enable a mobile-first process, we have dramatically simplified the experience and increased the speed of a contractor onboard. Now, a typical onboarding process that could take up to a month can now take only a few days. Plus, the process is IC-friendly, with screens, uploads, e-signature and fast response times all designed to ease the burden of completing an enrollment.

For each contractor there are different iterations of how the contract looks based on their individual need. There’s no standard one-size-fits-all contract packet that everyone signs. That’s what our IC Onboard modular workflows help address by enabling customizations down to the IC, but all within an automated platform.

Here are just a few modules contracting companies may elect:

  • Contract Negotiation Module
  • Banking Information Module
  • Contractor Expenses Module with Authorized Business Expenses
  • Identity Check Module
  • Integrated Background Screening Module
  • VIN Verification Module
  • Choose Signature Module
  • E-sign Document(s) Module

With Openforce’s IC Onboard, companies are able to remove unnecessary steps that add inefficiencies, time, and cost to their process—and now available through an all-mobile, user friendly experience for independent contractors. And, combined with our fully mobile-optimized IC Portal that contractors use to manage their personal information, settlement history, critical documents and access to Member Benefits, the Openforce IC experience is truly end-to-end through their lifecycle as a service provider.

Openforce clients will hear from their Account Manager or Customer Support team over the coming weeks to answer any questions regarding implementations with our new mobile enrollments and improved desktop experience!
